SELECTION OF MATERIALS
The Miami Metropolitan Archive (MMA) is comprised of government
documents on the Miami-Fort Lauderdale-Miami Beach, Florida, Metropolitan
Statistical Area (MSA)
from U.S. federal, state, and local government agencies. Current
contents reflect holdings at the Urban & Regional Government Documents
collection at FIU Libraries and archival material at the City of
Miami, City Clerk's Office.
Selectors at the City of Miami and FIU Libraries choose MMA contents
based on their:
- uniqueness
- fragility
- age
- size
- subject emphasis
- research value
CATALOGING & METADATA
MMA materials are cataloged according to FIU Libraries MARC Cataloging procedure and state-wide Cataloging & Access Guidelines for Electronic
Resources (CAGER).
These guidelines specify that records should represent the electronic
versions only, and include instructions to:
- Put the date of the original in Fixed Field Date1, the date
of digitization in Date2, and use Form of Reproduction "s";
- Include a title (245) subfield h to indicate the resource is
electronic;
- Specify the digitizing institution and date of digitization
in the imprint (260)
- Include a series statement (830) for the Eric Eustace Williams
Collection, justified by a general note (500)
- Use an original version note (534) to record the location of
and publication information for the source document

Metadata for MMA documents is structural rather than descriptive
in nature and was developed at the Florida Center for Library Automation
(FCLA). The metadata format currently
in use for MMA materials is FCLA's Metadata eXchange Format (MXF).
MXF is XML-based.
A file of structural metadata or MXF "package"
is created for each MMA document. Each package describes the relationship
of digitized images--Master TIFF,
Derived JPEG,
and Adobe PDF--to the MMA document as a whole. This metadata is
then linked to a related MARC cataloging record by unique file number.
